Product Fundraiser or Donation Drive? How to Pick the Right Format for Your Group

One of the most common questions first-time school fundraising coordinators ask is simple: should we sell something, or should we just ask for donations? The answer depends on factors that are specific to your group – and getting it right from the start saves a lot of frustration mid-campaign.

Both formats work. But they work for different reasons, with different audiences, and under different conditions. Here’s how to think through the choice.

What Makes Product Fundraising Work

Product fundraisers – selling popcorn, cookie dough, candles, tumblers, or other catalog items – work best when two conditions are in place. First, your buyer pool is local and tangible. Parents, grandparents, and neighbors who can physically receive the product are your natural audience. Second, your community responds better to getting something in exchange for giving.

Product campaigns also have a natural conversation starter built in. A student saying ‘Would you like to buy some popcorn for our basketball team?’ is an easier ask than ‘Would you like to make a donation to our basketball team?’ For younger students especially, having a product to show makes the ask feel concrete and manageable.

The tradeoff is logistics. Product fundraisers require order management, distribution coordination, and sometimes handling of physical goods. If your volunteer capacity is limited, that overhead matters.

When Donation Campaigns Have the Advantage

Donation-based campaigns – where supporters give directly without receiving a physical product – tend to work better in a few specific situations. If your donor pool is dispersed (grandparents in other states, alumni across the country, family friends who don’t live locally), a product campaign doesn’t make geographic sense. Donation campaigns work anywhere.

First-year groups also often do better with donation campaigns. Without an established donor base and community trust, asking people to spend $20 on popcorn can feel like a bigger leap than asking for a $20 donation to a cause they care about – especially if the group has a compelling story to tell.

Donation campaigns are also significantly lighter on logistics. There’s nothing to order, nothing to distribute, nothing to track beyond the digital records the platform creates automatically.

The Hybrid Option

Many of the most successful school fundraisers combine both formats. Donors who prefer to give directly can make a cash donation. Supporters who want to get something can purchase from the product catalog. One campaign, two pathways, broader reach.

Hybrid campaigns consistently expand the total donor pool because they remove the ‘I don’t need anything’ objection from product-only campaigns and the ‘what do I get for my money’ feeling that some donors have about pure donation drives.

A Quick Decision Framework

Before choosing your format, run through these five questions:

  • Is our donor pool primarily local (within driving distance) or geographically dispersed?
  • Do we have volunteers available to manage product distribution and order tracking?
  • Is this our first campaign with this group, or do we have an established donor relationship to build on?
  • Does our audience tend to give more generously when they receive something, or when the cause is clearly compelling?
  • How much time do we have? Product fundraisers typically require a longer runway.
