How to Run a Booster Club Fundraiser When You’re Short on Volunteers

If you’ve ever served on a booster club board, you know the math. There are twelve spots on the committee. Seven people said yes when asked. Three of those seven actually show up consistently. And those three people are the ones running every event, sending every message, tracking every dollar, and somehow still making it look like the organization is functioning.

The volunteer shortage in school booster clubs is real and getting worse. But it doesn’t have to mean your fundraiser suffers. The solution isn’t finding more volunteers – at least not right away. It’s building a fundraiser that’s sized appropriately for the team you actually have.

The Volunteer Math Problem

Most traditional fundraisers were designed in an era when parent engagement looked different. Catalog fundraisers required someone to collect order forms, tally products, handle cash, manage distribution, and chase down families for missing orders. That’s a lot of hours for a small team.

The first step in right-sizing your fundraiser is figuring out which tasks actually require a human and which don’t. Be honest about this. Sending reminder emails does not require a human if your platform automates it. Processing payments does not require cash handling if donors give online. Tracking participation does not require a spreadsheet if your dashboard does it in real time.

The Three Tasks That Actually Require People

Once you strip out the tasks that technology can handle, most fundraisers really require human attention in three areas:

Recruiting Beyond the Usual Suspects

Booster clubs tend to ask the same people for help year after year. Those people get burned out. The better approach is recruiting for specific, bounded tasks rather than open-ended committee membership.

‘I need someone to help set up at the kickoff assembly for 90 minutes’ gets a yes far more often than ‘Would you like to join the fundraising committee?’ People are willing to give one-time effort if they know exactly what they’re committing to and when it ends.

Set Expectations Before People Say Yes

One of the biggest sources of volunteer burnout is mismatched expectations. Someone agrees to ‘help with the fundraiser’ imagining two or three evenings of light work, and then discovers they’ve implicitly committed to two months of daily communications and weekly meetings.

Before anyone says yes to a role, be specific about the time commitment. Write it out. ‘This role requires approximately 4 hours during setup week, attendance at the kickoff event on [date], and two hours at closeout.’ That level of clarity respects people’s time and dramatically reduces mid-campaign disappearing acts.

What a Minimum Viable Booster Fundraiser Looks Like

With a strong platform and a clear task list, a booster club of three active volunteers can run a successful online fundraiser. One person handles setup and platform management.
